How to ask
Email mail@chilworthcourt.com with the subject line “Delete my data”.
Please tell us:
- the name and email address or phone number you used with us
- if you stayed with us, roughly when
- if your request is about WhatsApp, the phone number you messaged us from
We may need to check that the request really comes from you before we act on it. If so, we will ask — and we will only ask for what we actually need.
What happens next
We will confirm we have received your request, and complete it within one month. If the request is complicated we may need longer, up to a further two months, and we will tell you if that happens and why. There is no charge.
What we can delete
Your contact details, your enquiry and message history including WhatsApp conversations, and any notes we hold about your preferences as a guest.
What we have to keep, and why
We cannot delete everything, and it is fairer to say so than to promise otherwise:
- Booking and payment records must be kept for seven years under UK tax law
- Records needed for a legal claim may be kept until the matter is resolved
Once a retained record is no longer needed, it is deleted.
Information held by others
Some information sits with other companies rather than with us:
- Payment records held by Stripe — Stripe keeps these under its own legal obligations. We will pass your request on, but Stripe decides what it can delete.
- Your WhatsApp account and message history on your own phone — that belongs to you and to Meta. Deleting a conversation on your device does not delete our copy, and deleting our copy does not delete yours. Ask us for ours; use WhatsApp’s own settings for yours.
- Advertising data held by Google — you can control this through Google’s own advertising settings, and by turning off advertising cookies in our cookie settings.
- Bookings made through a booking platform — if you booked through a third-party site, that platform holds its own record and you will need to ask it separately.
